Registry Update Instructions

Each association must file a registry update with Elections Canada, within 30 days of any changes to its Board of Directors. This includes any changes resulting from a General Meeting, vacancies, or new appointments. Non-voting positions on the board do not need to be included in the registry. Select the PDF file EC FORM 20411 – you can either download and fill out the form on your computer or print it and write in the applicable boxes.

  1. In Part 1 – Section A, please be sure to fill in all applicable information:
    1. The name of your association should be consistent with what is currently listed on Elections.ca
    2. The Registered Party is: ‘Liberal Party of Canada’
    3. You can locate your ED code on this page
    4. Your riding
  2. In Part 1 – Section B
    1. Complete the following sections as needed to make the necessary changes to your board
    2. Changes to the Association Headquarters (usually the Chief Executive Officer’s or the Financial Agent’s address)
    3. Changes to where the records/books are kept (usually the Chief Executive Officer’s or the Financial Agent’s address)
  3. In Part 1 – Section C, the Chief Executive Officer (EDA Chair) must hand sign and date the form
  4. In Part 2 if there are no changes to the chief executive officer position or their contact information, select No changes to report in Part 2. If you select this option you are not required to complete the remainder of Part 2
    1. If there are changes to the chief executive officer position or their contact information, please select the corresponding change under Part 2 – Section A, and complete Part 2 – Section B
  5. In Part 3 if there are no changes to the financial agent position or their contact information, select No changes to report in Part 3. If you select this option you are not required to complete the remainder of Part 3
    1. If there are changes to the financial agent position or their contact information, please select the corresponding change under Part 3 – Section A, and complete Part 3 – Section B
    2. If there are changes to the financial agent position or their contact information, the agent must hand sign and date the declaration under Part 3 – Section C
  6. In Part 4 if there are no changes to the Auditor position or their contact information, select No changes to report in Part 4. If you select this option you are not required to complete the remainder of Part 4
    1. If there are changes to the auditor position or their contact information, please select the corresponding change under Part 4 – Section A, and complete Part 4 – Section B
    2. If there are changes to the auditor position, their contact information or the person’s authorized to sign on behalf of the partnership, the authorized person(s) must hand sign and date the declaration under Part 4 – Section C
    3. Each person authorized to sign on behalf of the partnership must complete the declaration under Part 4 – Section C to officially be authorized to sign on behalf of the partnership.
  7. In Part 5, you must list the names and contact information for any new officers being added to your association’s registry – this must include all members of the EDA Board of Directors, but should not include non-voting positions. If there are no changes to the officer positions or their contact information, select No changes to report in Part 5. If you select this option you are not required to complete the remainder of Part 5.
    1. If there are changes to the officer positions or their contact information, please select the corresponding change under Part 5 – Section A, and complete Part 5 – Section B
    2. If you must remove officers from your association’s registry, please list them in Part 5 – Section C.
    3. Add additional pages as needed.
  8. In Part 6 please select No changes to report in Part 6 and leave the rest of the section blank.
  9. Ensure all information is complete and accurate.
  10. Submit it by email or mail to the Registry Unit of Elections Canada. Their contact information can be found on page 1 of the form.
 

ANNUAL CONFIRMATION OF INFORMATION

Each association must file an Annual Confirmation of Information with Elections Canada. It must be filed by May 31st of each year. This includes any changes resulting from a General Meeting, vacancies, or new appointments. Non-voting positions on the board do not need to be included in the registry. Select the PDF file EC FORM 20412 – you can either download and fill out the form on your computer or print it and write in the applicable boxes.

  1. In Part 1 – Section A, please be sure to fill in all applicable information:
    1. The name of your association should be consistent with what is listed on Elections.ca currently
    2. The Registered Party is: ‘Liberal Party of Canada’
    3. You can locate your ED code on this page
    4. Your riding
  2. In Part 1 – Section B
    1. Select Confirmation (no changes) if you have no updates to declare since your previous update. Should you select this option, you will not be required to complete the other parts of the form.
    2. Select Changes required if you have updates to declare since your previous update.
    3. In Part 1 – Section C, the Chief Executive Officer (EDA Chair) must hand sign and date the form
  3. In Part 2 if there are no changes to the association’s addresses or the chief executive officer position or their contact information, select No changes to report in Part 2. If you select this option you are not required to complete the remainder of Part 2.
    1. If there are changes to the Association Headquarters (usually the Chief Executive Officer’s or the Financial Agent’s address), please complete Part 2 – Section B
    2. If there are changes to the chief executive officer position or their contact information, please select the corresponding change under Part 2 – Section A, and complete Part 2 – Section C
  4. In Part 3 if there are no changes to the financial agent position or their contact information, select No changes to report in Part 3. If you select this option you are not required to complete the remainder of Part 3.
    1. If there are changes to the financial agent position or their contact information, please select the corresponding change under Part 3 – Section A, and complete Part 2 – Section B
    2. If there are changes to the financial agent position or their contact information, the agent must hand sign and date the declaration under Part 3 – Section C
  5. In Part 4 if there are no changes to the Auditor position or their contact information, select No changes to report in Part 4. If you select this option you are not required to complete the remainder of Part 4.
    1. If there are changes to the auditor position or their contact information, please select the corresponding change under Part 4 – Section A, and complete Part 4 – Section B
    2. If there are changes to the auditor position, their contact information or the person’s authorized to sign on behalf of the partnership, the authorized person(s) must hand sign and date the declaration under Part 4 – Section C
    3. Each person authorized to sign on behalf of the partnership must complete the declaration under Part 4 – Section C to officially be authorized to sign on behalf of the partnership.
  6.
